Quota

You can set quotas for each option in multiple-choice questions to limit the number of responses that can be collected for each option.

For example, when accepting class registrations, you can set a quota of up to 10 people per class. Once the quota is reached for a class, additional respondents will not be able to select that class.

Quotas can only be applied to questions that meet the following conditions:

  • Must be a multiple-choice type (Single Choice, Multiple Choice, Dropdown, Media Single Choice, Media Multiple Choice)
  • Must be marked as "Required"

The quota feature is available for PRO plan users or higher.

If you need a quota but also want to allow respondents to skip the question, add an option like "None" or "Not selected" and exclude it from quota settings. However, the question itself must still be marked as "Required."

 

Use Cases

The quota feature in Moaform can be used for two main purposes:

  • When alternative selection is allowed:
    For example, if you allow respondents to choose between a 9 AM or 10 AM class, and each class is limited to 10 participants. If the 9 AM class is full, respondents should still be able to select the 10 AM class.
  • When alternative selection is not allowed:
    For example, in a survey where you only want responses from 10 males and 10 females, if the male quota is filled, male respondents should not be able to switch to the female option to proceed.

To support both cases, Moaform provides two response handling options when a quota is reached:

  • Disable the option: Respondents can no longer select that option.
  • Allow selection but disqualify the response on next page: Respondents can select the option, but the response will be ended (marked as "Disqualified") and redirected to a designated Thank You page.

 

How to Set Up

1. Check basic conditions:

At least one multiple-choice question marked as "Required" must exist to use quotas.

2. Create a quota set:

Go to the "Quota" tab at the top of the left panel in the form editor and click [Create New Quota] to add a new set.

3. Configure the quota:

A quota set consists of the following elements:

  • Quota title: Name of the set
  • Question(s) to assign quota to: Select the multiple-choice question(s) to apply quotas to
  • Quota values: Input quotas for each option. You can enter them individually or use the "Bulk Input" function to apply the same value to all combinations.

4. Use multiple questions in combination:

You can select up to 3 questions to create option combinations. Each combination can have its own quota. The total number of combinations must not exceed 512. Reduce questions or options if needed.

5. Configure behavior when a quota is reached:

  • Disable the option: The option is no longer selectable. Additional settings:
    • Move disabled options to the bottom
    • Add a label (e.g., [Closed]) to disabled options. You can customize the label.

  • Disqualify response and redirect: Respondents can select the option, but their response is ended and redirected to the designated Thank You page. You must set the redirect page.

6. Set form close condition:

You can choose to automatically close the form when all combinations within the set reach their quotas. This setting is available at the bottom of each quota set.

If any combination is set to "Unlimited," the form will not be closed even if all other combinations are filled.


7. Handling multiple quota sets:

You can create up to 5 quota sets per form. If multiple sets have conflicting actions, the action from the set positioned higher in the list will take precedence.

Example: If the upper set redirects to Thank You Page T1 and the lower set redirects to T2, respondents matching both will be sent to T1.

You can also enable the option “Close the form when all quotas below are reached.” When this is turned on, the form will automatically close once all combinations in all quota sets have reached their respective limits. (This is separate from the setting that closes the form based on a single quota set’s combinations.)

Additional Notes

  • Quotas are not reset by deleting responses. Deleting a response does not free up quota space.
  • If logic conditions conflict with quota settings, the quota settings take precedence.
  • You cannot add, delete, or change questions in an existing quota set. If changes are needed, create a new set.
  • If you add or remove options, the changes are immediately reflected:
    • Adding options creates new combinations that need quota values.
    • Deleting options removes related combinations.
  • You can view quota progress on the results page.
